The information in  Outlook (NOT OUTLOOK EXPRESS), although backed up on  a server,  may be lost through various means.  Each user should back up  emails, contacts, calendar from time to time.  The following steps can be printed out and used to back up the Mailbox, Archive folders (if any) , or Personal Folders (if any).  Each item above must be backed up separately (the Mailbox includes, Inbox, Calendar, Contacts, Sent Items, Deleted Items, etc.).  Highlight the instructions below, go to File, Print, choose selection in the print box and OK.

Open Outlook,  Go to:
File
Import & Export
Highlight "Export to a file"
Next
Highlight "Personal Folder File (.pst)"
Next
Highlight "Mailbox-your name"
CHECK THE BOX "Include Subfolders"
Next
Hit "Browse"
          A new window will open, at the top in the "Save in" box, hit the down arrow
and go to "My Documents" or where ever you wish to save the backup. At the bottom in the "File name" enter your name (name only, it will add the ".pst" to it) and hit "OK".
NOTE: During future backups, at the point of opening "My Documents" as noted above, double-click
the yourname.pst file that you created earlier and hit "OK".
At the next window, hit "OK" (unless you need to password protect your
backup, WRITE DOWN THE PASSWORD AND STORE SAFELY).
          If another backup is required (i.e., the Archive Folder), do not name the backup file the same as the Mailbox backup.  Example: Charlie backups up his Mailbox with charlie.pst, and then his Archive folder as charlieArc.pst.
